Privacy and Copyright Policy

Kia ora, and welcome to the Community and Enterprise Leadership Foundation (CELF). Trust sits at the heart of everything we do, including how we care for your personal information and the content we share. This page explains how we collect, use, share and protect your information, and how you’re welcome to use our content.

We handle personal information in line with the Privacy Act 2020, including the changes introduced by the Privacy Amendment Act 2025. This policy covers our website, www.celf.org.nz, and our wider work, including Leadership Waikato, our alumni community, events, partnerships and sponsorship.

Last updated: November 2026. This policy replaces all earlier CELF privacy notices.

Your privacyWho we are

CELF is a registered charitable trust based in the Waikato (Charities Services registration number CC51002). We’re responsible for the personal information we collect and hold. If you have a question about privacy, our Privacy Officer is here to help.

Privacy Officer email: hello@celf.org.nz Post: Hiko Hub, University of Waikato, Gate 5, 163 Hillcrest Road, Hamilton 3240

What we collect

We collect only what we need. Depending on how you connect with us, this may include:

  • your name, contact details, role and organisation

  • programme application, registration and enrolment details, including emergency contacts and any dietary or accessibility needs

  • programme information such as attendance, reflections, survey responses and leadership development feedback, including 360-degree feedback where you take part

  • event registration and ticketing details

  • sponsorship, partnership, donation and invoicing details

  • photos, video and stories you share with us or that are captured at CELF events

  • records of your communications with us

  • technical information about your visit to our website (see Cookies and website analytics).

You’re welcome to browse our website without telling us who you are. If you choose not to share some information, we may not be able to process an application, registration or enquiry.

How we collect it

Most information comes straight from you – when you complete a form on our website, register for an event, apply for a programme, email or phone us, or subscribe to our updates. Sometimes we receive information about you from others, such as:

  • your employer or sponsoring organisation, when nominating or supporting you for a programme

  • someone nominating you for an award, such as the John Cook Alumni Leader of the Year Award

  • referees, facilitators and programme partners

  • publicly available sources, such as your organisation’s website or LinkedIn profile.

When this happens, we’ll take reasonable steps to let you know, usually by pointing you to this policy, unless an exception under the Privacy Act applies.

How we use it

We use personal information to:

  • respond to enquiries and share the information you ask for

  • assess applications and deliver our programmes, events and alumni activities

  • manage sponsorships, partnerships, donations, invoices and payments

  • keep you connected with CELF news, events and opportunities, where you’ve agreed

  • recognise and celebrate leadership, including award nominations and alumni stories

  • measure and report on our impact, reports to sponsors, funders and our Board use summarised or de-identified information wherever possible

  • improve our website, services and participant experience

  • meet our legal, governance and reporting obligations.

We won’t use your information for a purpose unrelated to why we collected it, unless you agree or the Privacy Act allows it.

Staying in touch

We send newsletters, invitations and updates through infoodle, our customer relationship management system. We’ll only send you promotional messages if you’ve agreed to receive them, or where consent can reasonably be inferred from our relationship with you.

Every promotional message includes an unsubscribe link, and we action unsubscribe requests within five working days, as required by the Unsolicited Electronic Messages Act 2007. You can also email hello@celf.org.nz at any time. If you’re a current participant, alumnus or sponsor, we may still send messages directly related to that relationship, such as programme logistics or event confirmations.

Making a donation

Thank you for helping grow leadership across the Waikato. There are three ways to give, and each handles your information a little differently:

  • Direct credit - when you give straight into CELF’s bank account using the details we provide, we see the name, reference and amount shown on our bank statement. We use these to record your gift, thank you and issue any receipt.

  • CELF’s Donorbox page -  when you give online, you complete your donation on Donorbox, a secure third-party fundraising platform. Donorbox collects details such as your name, email address, donation amount and any message you choose to add, and shares them with us so we can thank you, issue any receipt and keep accurate records. All payments are processed securely by Stripe, so CELF never receives your full card details. Donorbox stores donor information mainly in the United States.

  • Momentum Waikato - you can also support CELF through Momentum Waikato, by giving on its website via Donorbox or by direct credit. Momentum Waikato manages these gifts under its own privacy policy. If it shares your details with us – for example, so we can thank you – we’ll look after them in line with this policy.

To learn more about how these organisations handle your information, see the privacy policies on the Donorbox, Stripe and Momentum Waikato websites.

Who we share it with

We never sell or rent your personal information. We share it only where needed for the purpose it was collected, with your agreement, or where the law allows or requires it.

Our service providers help us run CELF. They hold information on our behalf and may use it only to provide their services to us:

  • Rocketspark - website hosting and website forms

  • infoodle -  CRM, online forms, event management and email communications

  • Humanitix -  event registration and ticketing

  • Microsoft 365 - email, documents, calendars and secure file storage

  • Google Analytics - website usage statistics, where used

  • Donorbox- online donation forms, donor records and receipts

  • Stripe- secure processing of all payments made through Donorbox

  • our banking and accounting providers.

Other people and organisations we may share relevant information with include:

  • facilitators, presenters, site-visit hosts and programme partners, so they can deliver sessions

  • your employer or sponsoring organisation, about your participation where they support your place

  • other participants and alumni (for example, cohort contact lists), where you’ve agreed

  • professional advisers, auditors and regulators, where required by law, or to prevent a serious threat to someone’s health or safety.

Storage outside New Zealand

Some of our service providers store information on servers outside New Zealand, including in Australia and the United States; for example, Donorbox stores donor information mainly in the United States. When we disclose personal information overseas, we take reasonable steps to make sure it is protected by safeguards comparable to those in the Privacy Act 2020.

Cookies and website analytics

Our website is built and hosted on Rocketspark. Like most websites, it uses cookies – small text files stored by your browser, and similar technologies. We use:

  • Essential cookies -  to keep the website working properly and securely, such as loading pages and submitting forms.

  • Analytics cookies -  where we use Google Analytics, it helps us understand how visitors use our site, such as pages viewed, time on site, device and browser type, general location and the website that referred you. We use this information in aggregate to improve our site, not to identify you.

  • Third-party cookies -  embedded content, such as YouTube or Vimeo videos and social media buttons or feeds, may set their own cookies under those providers’ policies. Donorbox may also set its own cookies when you use our donation form.

Where our website shows a cookie banner, you can use it to accept or decline non-essential cookies and change your choice at any time. You can also block or delete cookies in your browser settings, although blocking essential cookies may affect how parts of the site work. Your browser may also keep a temporary copy (cache) of pages and images to help them load faster. This is stored on your device, not by CELF, and you can clear it at any time.

Social media and other websites

We share CELF news on social media, including LinkedIn and Facebook. When you interact with us there, the platform may collect your information under its own privacy policy. Our website also links to other websites. We aren’t responsible for their content or privacy practices, so we encourage you to read their privacy statements.

Photos, video and stories

We love sharing the stories of our leaders. Photos and video may be taken at CELF programmes and events for use in our communications, reports, website and social media. We’ll let you know when photography is planned. If you’d prefer not to be featured, just tell us at the event or email hello@celf.org.nz. For personal stories, quotes and testimonials, we’ll seek your permission before publishing.

Keeping your information safe

We take reasonable steps to protect personal information from loss, misuse and unauthorised access, use, change or disclosure. These include secure, access-controlled systems, multi-factor authentication where available, limiting access to people who need it, and choosing reputable providers.

If a privacy breach has caused, or is likely to cause, serious harm, we’ll notify the Office of the Privacy Commissioner and the people affected as soon as practicable, as required by the Privacy Act 2020.

How long we keep it

We keep personal information only for as long as we need it for the purposes described here, or as required by law, such as for financial records. As a leadership community, we keep core alumni records so we can stay connected over time. You can ask us to update or remove those records at any time. When information is no longer needed, we securely delete or de-identify it.

Artificial intelligence

We may use approved AI tools for everyday tasks such as drafting and summarising. Our AI Responsible Use Policy keeps people accountable for all decisions, and confidential or sensitive personal information, such as 360-degree feedback, is never entered into public AI tools.

Your rights and how to raise a concern

You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if it’s wrong. To make either request, contact our Privacy Officer at hello@celf.org.nz. There’s no charge. We’ll respond as soon as possible, and no later than 20 working days after receiving your request.

If you have a concern about how we’ve handled your personal information, please talk to us first - we’d welcome the chance to put things right. If you’re not satisfied, you can contact the Office of the Privacy Commissioner at www.privacy.org.nz or 0800 803 909.

Using our content

We’re proud of the stories, insights and resources we share, and we love seeing them spark conversations. This section explains how you can use content from our website, publications, programme resources and communications. Any specific licence, permission or programme terms supplied with material also apply.

Who owns the content

Copyright in material we publish – including written content, photographs, videos, graphics and programme resources - belongs to CELF or the relevant copyright owner. Not everything we publish is owned by CELF: material supplied by facilitators, participants, photographers, partners and other contributors remains subject to its own ownership arrangements and permissions.

Sharing our content

You’re welcome to link to our public website and share our public social media posts using each platform’s sharing tools. For content CELF owns, unless a different notice applies, you may also:

  • view, download or print public website content for your own personal, non-commercial use

  • share brief extracts of public written content for non-commercial purposes, provided you acknowledge CELF, identify the source and link to the original where practicable.

When you do, please keep any copyright notices and credits, preserve the meaning and context, and don’t imply CELF’s endorsement. These permissions don’t extend to third-party content, photographs, videos, logos or restricted programme resources. Nothing in this policy limits uses permitted under the Copyright Act 1994, including applicable fair dealing exceptions.

When to ask us first

Unless an applicable licence or the law already permits your use, please get our written permission before you:

  • reproduce full publications or substantial extracts

  • adapt our material or use it commercially

  • incorporate it into training or other resources

  • use CELF’s name or logo in a way that suggests a partnership, sponsorship or endorsement.

Programme resources are supplied for the use specified with them. Access to them doesn’t authorise wider distribution, resale or delivery of another programme.

Content from others

We can grant permission only for rights we hold or are authorised to license. For third-party material, you may need permission directly from the copyright owner. Copyright permission also doesn’t replace any privacy consent or other permission needed to reuse an identifiable person’s image, story or testimonial - consent for CELF to publish doesn’t extend to use by others.

Requests and copyright concerns

To request permission, email hello@celf.org.nz and tell us the material or page, how you’d like to use it, your audience and whether the use is commercial. If you believe something we’ve published infringes your copyright, contact us at the same address with the link or a description, details of your rights and your contact information, and we’ll look into it.

Updates to this policy

We may update this policy from time to time to reflect changes in the law or in how we work. The latest version will always be on our website, with the date it was last reviewed. Questions? We’d love to hear from you at hello@celf.org.nz.
